Attendees: Chris Vachon, President; Jacky Hastings, Treasurer; Mikki Falcone, Recreation Director; Donna Moxley, Road Director; Fred Pasler, Waterfront Director
 
Unable to Attend:  Trevor Anderson, Vice President

1.  Address needs and concerns of guests, if applicable.
Joe shared experience going to the Marlow Post Office.
 
2.  Acceptance of board minutes from November. 
Minutes accepted as amended.
 
3.  Treasurer’s Report 

• Jacky shared an update on her availability of the Treasurer role.
• Financials (rounded to nearest dollar):

• Lien/Collection Updates – Board discussed an voted on next steps for 2021 Assessment Collections.
• Tax Updates – Chris shared updates on IRS tax status
• Debit Card Process – Board approved Debit Card Process, will be distributing amongst group for signatures

 
4.  Committee Reports

• Recreation Updates by Mikki
  • Pool Updates – Solar Panels have arrived, currently scheduled for install on May 15.  Insect screens are being worked on by Joe.
  • NHDES Rule Changes for Public Pools – Recent changes indicate that public pools are required to have a certified operator. Mikki has previously partnered with Tim Wilson on this and has been told that because we are private, we do not have to comply.  She has reached out to confirm this.
• Waterfront Updates by Fred
  • Beaver Activity Update – Beavers continue to cause damage to waterfront trees and bushes while building their hut at slip A3.  We have had no luck finding anyone interested in trapping for us, only interested in pelts for a fee.  We have a quote from Homeland to assist with debris removal at A3 and are awaiting permit (Chris has been looking into this).
  • Hidden Pond Dam/Spillway Update – Final letter/report still pending from NH Bureau of Dams
  • Boat Sticker Update – Gem Graphics said stickers will be ready to pick up when payment is received.  Jacky has the invoice.
• Road Updates by Donna
  • Plowing/Winter Roads Recap – Donna shared feedback on recent plowing.
  • Kings Highway Drainage/Culvert Update – Donna shared updates on recent work on Kings Highway and Rice Brook Culvert.
  • Tigola Culvert Update – Chris shared updates on Tigola Culvert Insurance Claim and repairs
  • Culvert Monitoring/Maintenance Program Update – no updates
  • Kings Highway/North Hidden Lake Road Sign Update – no updates
• Violations Review – The board discussed current violations.
• Buildium Task Review – no updates.

 
 
5.  New Business

• Post Office Changes – the board discussed the potential post office changes for Stoddard.
• HLA Amenity usage by renters (short and long-term) – the board discussed this topic and agreed to review legal options for management of this and to include the topic in our membership guidance portion of the June Member Meeting.
• Future Board Meeting Locations – the board discussed and decided to hold January and February meetings online.

 
6.  Unfinished Business

• Temporary Seasonal Home Update – Chris shared an update from the Ibarra’s.
• Secretary Recruitment – the board discussed a membership email focused on recruiting for Secretary and Treasurer roles – Chris to send out.
• Emergency Response Committee – no updates
• Concrete forms + grates at dam – no updates
• Ops Manual/Calendar – no updates

 
Next Board Meeting: Tuesday January 11 @ 6:30pm via Zoom.
