- Liens Update – one lien will be released in the coming days. In the process of researching that lien we discovered a document that listed nearly 50 previous over-due balances from the late 80s – we will be reviewing that document and cross-referencing that to properties in Buildium as prior existing proof of that lot being a paying lot.
- Legal fees – the board discussed legal fees for the current fiscal year. Jacky will be putting together a summary of legal expenditures and income for further discussion.
4. Committee Reports
- Recreation Updates by Mikki
- Solar Panels – two have arrived and will be stored until spring for install, two more will be ordered ahead of the spring season.
- Key fob and camera software/training hand-off updates from December meeting – looking to set up a meeting in February.
- Fibercast Internet/Phone for pool house – Mikki is pricing this out (service + installation) and has scheduled a site visit for review with Fibercast.
- Fibercast for out-of-scope of roads in HLA – the most recent stimulus creates more grants for rural broadband – Fibercast intends to apply for grants to be able to cover the rest of HLA.
- Waterfront Updates by Andrea
- Road Updates by Donna
- Tigola Washout – excess rain/snow melt over Christmas caused the road to washout near bottom of Beaver Brook Drive. The road was repaired the following Monday at a cost of $6,630. The property owner below the washout had damage to their property and plans to submit an insurance claim for that.
- Kings Highway Bridge – temporary bridge has been installed and is in use.
- Mailbox Move – the board reviewed and discussed the mailbox move at length starting with initial conversations that began in February through conversations that have occurred in the last week. Our initial plan (moving the boxes to the start of Kennedy Brook - approved in mid November by the interim postmaster) was unexpectedly and suddenly rejected at the last minute by the returning permanent postmaster on 12/30. Mailboxes are now temporarily located at the town hall parking lot.
- Mailbox Plan – Our plan to return the mailboxes to their original location (double-decker mailboxes with roof to protect from snow/rain) has been verbally agreed to by post office and Andorra Forest. Our next steps are to finalize the plans and have all parties (town, post office, Andorra Forrest) approve in writing so we can begin building and then install mailboxes after the bridge project concludes in spring.
- Rice Brook Wall update from December meeting – letter will be going out shortly.
- Road Sign update from December meeting – Yield sign is still down but has been reported to the town.
- Concrete forms + grate at dam update from December meeting – Mike to follow up with Jimmy on this.
- Policy + Bylaw Updates by Chris
- Bylaw Committee Update – we are still looking for members to join the Bylaws Committee.
5. Unfinished Business
- Buildium E-Pay Update – no update, we are still waiting to hear back on tax filings.
- John Hicks Update – no update at this time.
- March Mailing Updates + Discussion – board discussed March draft. Mikki will work on recreation page, Andrea will be work on Waterfront page, Donna will work on road letter, and Chris will draft the letter from the board. We will review all documents at February meeting. Mike and Jacky will work on reviewing billing ahead of the mailing.
6. New Business
- Virginia Clark deed research – the board researched the deeds and will be updating billing in Buildium to reflect our findings.
