HIDDEN LAKE ASSOCIATION BOARD MEETING Tuesday, March 17, 2020 - 6:30 PM

MEETING MINUTES
Attendees: Mike Kelley, Bob Lucas, Mike Gallagher, Jacky Hastings, Donna Moxley
Volunteers: Bob Frietag, as interim secretary
1. Acceptance of board minutes from January 14th and February 11th meetings
● Approved with suggested changes
2. Treasurer’s Report
o Clearwater Pool and Spa will open the pool on May 26th (Subject to change given the Covid-19 pandemic)
o Replacement of solar panels - Clearwater has suggested options
● Roads
o Spring grading is planned for mid-April
o The town of Stoddard/State of NH will be replacing 2 culverts on Kings Highway after July
2020. Funding may come from a Grant in the new fiscal year, but has not been secured yet. o The existing HLA mailboxes will need to be moved to allow for this project to be
completed. A new site needs to be identified. Mike Gallagher will be working with the
Marlow, NH PostMaster.
o The Board will seek legal input from the HLA attorney so that a formal request can be
made to the Town of Stoddard to assist HLA in identifying requirements and managing this effort.
● Bylaws
o A revision of the Bylaws was previously submitted to the Board for review and comment.
Once the revision is complete it will be reviewed by the Bylaws Committee, and presented to the Association for approval at the June 2020 membership meeting. The revisions are currently being incorporated into the Bylaws by the Bylaw Committee, and will be represented to the Board prior to the June 2020 meeting.

o There are 27 outstanding liens. 3 have been settled this year. and we expect one additional payment this month. - ● JLN residents continue to pay 2019 invoices. Thank you JLN!

- ● The Board is working with a CPA to file HLA taxes going forward.
- ● Mike Kelley will provide input to the CPA for this year's tax filing.
3. Committee Reports ● Recreation

- ▪ The Board may also want to consider replacing the shingles before installing new
solar panels

o Docks in on May 2, 2020 9:00 (As always we are welcoming any volunteers!)

- ● Buildium data migration is in process. A test mailing is planned to validate the process after Board training.
- ● Letter to members about cleaning out their culverts
o The Board will determine how many actual problems there are that need to be addressed

- ● HLA map restoration
o Michael English has volunteered to replicate a new sign
o The existing sign will be removed and a notice posted regarding the missing sign.... - ● Covid-19 response
o The Pool and Rossi Hall usage may be impacted by CDC guidelines
o The Board may have to consider alternative meeting options for the June annual meeting - ● Procedure/documentation for Board of Director transition after elections
